Who we are

Frostwater Studios is based in South Africa and is responsible for the personal information collected through this website and its enquiry form. This notice covers our public brochure website and enquiries about our services. It does not cover the separate calendar application.

Information we receive and why

We receive the information you provide directly when you contact us: your name, email address and message, together with any optional organization, project type and referral details. We use it to respond to your enquiry, discuss your requirements and prepare requested proposals.

Submitting an enquiry is voluntary. We need your name, a valid email address and a message to process the form; without these, the form cannot send your enquiry. Please avoid including passwords, financial details or sensitive personal information.

Our hosting service may record technical information such as IP addresses, requested pages, browser information and access times for operation and security. The contact form also uses an IP-address hash and submission counts to limit abuse within a 15-minute window. Hashing does not guarantee anonymity.

Email, hosting and access

Website enquiries are sent to hello@frostwaterstudios.com. The contact form does not keep a separate database copy of your message, but email and hosting systems may retain messages, logs and backups. Team members handling enquiries and service providers supporting these systems may process this information for those purposes.

We use third-party website and email service providers to operate our website, deliver enquiries and support these services. They may store or process personal information as part of providing these services, including on systems outside South Africa. You can contact us with questions about how your enquiry is handled.

How long we keep information

Our policy is to review enquiries that do not become client work 12 months after the last meaningful contact and delete them when no longer needed. Client correspondence is retained according to the relevant project and applicable record-retention requirements.

Deleting an email does not necessarily remove every backup or provider log immediately. Those records are subject to the relevant service's retention processes. Contact us to request deletion or ask about a particular record.

Your choices and rights

You can ask to access your personal information, correct inaccurate details, request deletion where applicable, or object to processing. These requests are subject to applicable legal requirements, and we may need to verify your identity. Send requests to hello@frostwaterstudios.com.

You may also lodge a complaint with South Africa's Information Regulator, whose website provides complaint procedures and contact details.

Website tracking

Our brochure website does not include advertising or third-party analytics scripts. Hosting and security services may still produce logs or use technologies necessary to provide and protect the website.

We will update this notice when our information practices change and show the effective date on this page.
